Pivot House Client Terms & Conditions

Effective Date: 30 June 2026
 

These Terms & Conditions ("Terms") govern your purchase and participation in coaching services provided by Leigh Miller Coaching LLC, doing business as Pivot House ("Services"). By purchasing any Pivot House service, you acknowledge that you have read, understood, and agree to these Terms.


1. Coaching Services

Pivot House provides professional career coaching designed to help clients navigate career growth, job searches, leadership development, career transitions, interview preparation, salary negotiations, and other related professional goals. Descriptions of each service, including current inclusions, duration, pricing, and delivery format, are available on the applicable Pivot House sales page at the time of purchase and form part of your agreement with Pivot House.


2. Payment Terms

Career Momentum Membership

The Career Momentum Membership is an ongoing monthly coaching subscription.

  • Membership fees are billed automatically on a recurring monthly basis using the payment method provided during checkout.

  • Your Membership will automatically renew each month unless cancelled before your next billing date.

  • You may cancel your Membership at any time through your Stripe customer portal or by contacting Pivot House before your next billing date. Your Membership will remain active until the end of your current billing period.

  • No partial-month refunds or prorated refunds will be provided after a payment has been processed.
     

Pivot Program

The Pivot Program is a fixed-term private coaching engagement. Program fees may be paid in one of two ways:

  • Pay in Full: The full program fee is due in full prior to the commencement of the program, unless otherwise agreed in writing.

  • Payment Plan: The program fee may be split into two monthly installments. The first installment is due prior to commencement of the program. The second installment is billed automatically to the payment method on file one month later.

Regardless of the payment option selected, program fees are non-refundable once coaching has commenced. If you select the Payment Plan, you remain responsible for both installments in full, even if you discontinue coaching, request cancellation, or remove the payment method on file before the second installment is billed.
 

3. Scheduling

Coaching sessions are scheduled by mutual agreement. If you need to reschedule a session, at least 24 hours' notice is appreciated whenever possible. Where applicable, unused coaching sessions may only be used within the timeframe outlined on the applicable sales page or otherwise agreed in writing.
 

4. Coaching Relationship

Coaching is a collaborative partnership intended to support your professional growth and decision-making. By participating in coaching, you acknowledge that:
 

  • You remain responsible for your own decisions, actions, and career outcomes.

  • Coaching is designed to provide guidance, challenge, accountability, education, and strategic thinking.

  • Pivot House cannot guarantee interviews, job offers, promotions, salary increases, business outcomes, or any specific result.


Your success depends on numerous factors outside the control of Pivot House, including market conditions, employer decisions, your experience, preparation, commitment, and implementation.
 

5. Professional Standards & Ethics

As an International Coaching Federation (ICF) certified coach, Pivot House is committed to conducting coaching services in accordance with the ICF Code of Ethics. This includes maintaining professionalism, integrity, confidentiality, respect, and client autonomy throughout the coaching relationship. Where these Terms are silent on matters relating to the coaching relationship, Pivot House will endeavour to operate in accordance with the ICF Code of Ethics.
 

6. Artificial Intelligence

Pivot House may use trusted Artificial Intelligence (AI) tools to support the delivery of coaching services and improve the client experience. Examples include, but are not limited to:

  • Preparing meeting summaries.

  • Organising coaching notes and action items.

  • Drafting written feedback.

  • Brainstorming ideas and resources.

  • Creating or improving educational materials and client resources.
     

AI is used to enhance efficiency and service quality—not to replace professional coaching judgment. All coaching recommendations, strategic guidance, and professional decisions are made by Pivot House. Reasonable steps are taken to use reputable technology providers and to protect client confidentiality.
 

7. Session Recording

Coaching sessions may be audio and/or video recorded for legitimate business purposes, including:

  • Maintaining accurate client records.

  • Creating coaching summaries and action plans.

  • Supporting continuity between sessions.

  • Improving coaching quality.

  • Reviewing coaching conversations.
     

Recordings are treated as confidential and will not be shared with third parties except:

  • Where required by law.

  • With your express written permission.

  • Where necessary to engage trusted service providers who assist in delivering the coaching services under appropriate confidentiality obligations.
     

8. Confidentiality

Pivot House respects your privacy and treats information shared during coaching as confidential. Confidential information will not be disclosed except:

  • Where disclosure is required by law.

  • Where you provide written consent.

  • Where information is shared with trusted third-party providers engaged to support the delivery of coaching services and who are subject to appropriate confidentiality obligations.
     

9. Communication

Where your coaching service includes communication between scheduled sessions, responses will generally be provided during normal business hours. Communication between sessions is intended to support your coaching experience and should not be considered an emergency service or guarantee of immediate availability.
 

10. Intellectual Property

All coaching materials, worksheets, templates, frameworks, presentations, guides, recordings, and other resources provided by Pivot House remain the intellectual property of Pivot House unless otherwise stated. These materials are licensed for your personal use only and may not be copied, reproduced, distributed, published, or sold without prior written permission.
 

11. Appropriate Conduct

Pivot House is committed to maintaining a professional, respectful, and psychologically safe coaching environment.

Pivot House reserves the right to suspend or terminate coaching services if a client engages in abusive, threatening, discriminatory, unlawful, or otherwise inappropriate behaviour, or if the coaching relationship is no longer productive or aligned with the objectives of coaching.
 

12. No Professional Advice

Pivot House provides coaching, education, and professional development services. Coaching does not constitute legal, financial, tax, immigration, mental health, medical, or employment law advice. Clients are encouraged to seek advice from appropriately qualified professionals where required.
 

13. Limitation of Liability

To the maximum extent permitted by applicable law, Pivot House shall not be liable for any indirect, incidental, consequential, or special damages arising from participation in coaching services. Pivot House's total liability shall not exceed the fees paid by the client during the three (3) months immediately preceding any claim.
 

14. Changes to Services and Terms

Pivot House may update its coaching services, pricing, and these Terms from time to time. The version of the service description available on the applicable sales page at the time of purchase will apply to your engagement. The most current version of these Terms will always be available on the Pivot House website.
